January 2009 Westmatch XVIII Minutes
1. Westmatch Theme: “A celebration of Clint Eastwood” The match with No Name!
2. New categories will be offered, with number in category change? It was decided that we will require three in each category to present awards. If we have less than the required number the Match Director will call the people and offer them other categories choices. If they wish to remain in the one they originally chose they will receive certificates rather than awards.
3. New SASS State match requirements. SASS now requires all State and higher matches to have a Scholarship fundraiser. After discussion it was decided that Mrs. Romnes and I would put together a raffle basket with items which includes a free entry into Westmatch XVIV, and Doollee MacDandee would charge a small fee to play the Texas Hold’ em game that was so popular last year.
4. Mail out entry forms as in the past. Due to the cost of mailings, it was decided that we would get the entry form and information on our website as soon as possible for people to download and print. We will also get them to each of the other shooting clubs for distribution, and to people who do not have computers upon request.
5. Mailing confirmation letters. We will handle the match confirmation letters the same as our entry forms by e-mail or mailed directly to those not electronically connected.
6. Stage designers need to get things in on time. This year they will be slightly more rushed than in the past, but the stages will be run the weekend of February 28th and March 1st.
7. Friday afternoon Bag-O-Lunch do it again? Most people didn’t remember the lunches but for those that did purchase them they were happy with what they got. However some that were pre-ordered did not get picked up, so this year we will have to pre-pay for the lunch.
8. Parking problems? We only had one complaint regarding the parking problems. As in the past people are reminded that we had plenty of room at the rifle range, and it’s actually shorter to walk if you come in the back gate.
9. Camping problems? No one was aware of any problems.
10. Pre-publishing the Stages? Some of the ranges pre-publish the stages. After discussion is was decided that we will not bother to do that given the fact that we reserve the right to slightly modify any stage after it’s set up due to safety concerns.
11. Change to Total Time match? Most people felt that we didn’t need to change our match from rank to total time at this time, so no change.
12. Entertainment? Doollee MacDandee and Amos MacDandee will host the Texas Hold’ em poker match again this year.
Other Items of Discussion:
1. Katie will continue to do the administrative business of the match, i.e. paperwork, flyers, brochures, shooters book, and overseeing the match as well as the Match Directors duties.
2. Johnny Pinebox and May B. Shecann will handle all the side match events again this year. They will look at what was popular last year, and may make some modifications such as adding some events, and deleting others. They will give us a list of events to put on the flyer so everyone knows what to expect.
3. Bones McCracken will look into getting a caterer. He would like to see what else is out there.
4. Amos MacDandee will continue to do his excellent job of scorekeeping.
5. This year we are going to try something different. Instead of everyone having to go all the way over to the shotgun range to shoot a stage, we will shoot two on the pistol range. We will still have 10 stages, with two shot back to back in one bay. If we don’t like it, or it doesn’t work we can always move back to the shotgun range.
6. It was decided that we would put a questionnaire in each of the shooter packets to see what suggestions they might have for improving the match.
7. We will also put an individual voting sheet for the Best R.O. award, and the Best Stage design award in each packet. It was felt that people are voting as a posse rather than individually.
We will notify everyone when the information is posted, and the dates of the match are: July 31, August 1 & 2, 2009
